DOTS Charter Services serve the University of Maryland Community.
Only UMD faculty, staff or students may make a reservation for their campus organization, department or student group to travel on university business.
Charters are subject to fleet availability. The charter department will provide options of which vehicles to use considering the size of the group and activity of the group.
Charter reservations must be finalized, with a signed contract, at least ten business days prior to the requested date of the charter. Requests for estimates may be made no earlier than two months prior to the desired service date. Ideally, requests should be made between 3 and 8 weeks before the trip. Contracts are accepted Monday through Friday during normal business hours. Service will not be provided if a signed contract is not received or if the department designee does not hold budget authority to charter.
Determine the size of your group, length of your reservation and your exact destination.
The size of your group will determine the size vehicle that will be assigned to you. Remember to include chaperones. Even if you reserve a transit bus, your count should assign every person to a seat.
For the length of your reservation please take the amount of time that you need and add ½ hour before and after that time to allow for preparation and clean up of the bus.

Fees and Payments
All payments must be made at least ten business days in advance. Payment may be made by credit, STARS, FRS Number or an organization check. Only organization checks made payable to the UNIVERSITY OF MARYLAND will be accepted. Organizations paying by check must also submit a 20 percent of total cost deposit, as a separate check payment, with the contract.
Requests with less than ten (10) business days advance notice will incur a fee of $144 per transit bus requested and $240 per coach bus, if the request can be met considering fleet and staffing availability.
NO EXCEPTIONS WILL BE MADE!
Cancellations made after the contract has been signed, and less than 10 business days before the travel date will result in a cancellation fee of 20 percent of the total cost of the contract. All cancellations must be received in writing with the signature of the Representative or the Dean, Director, or Designee.
Changes need to be made in writing to the charter manager. The charter manager is the only one who can make changes.
NOTE: Information may be given verbally, but all requests must be made in writing. The preferred method of request is made via the web page. However, e-mail, postal delivery, and fax are also accepted.

Restrictions and Policies
Drivers are instructed to wait for passengers for up to 30 minutes from the pick-up time listed on the contract.
When chartering more than one bus, the buses will travel as a group whenever possible.. Absolutely no smoking or open alcoholic beverages will be permitted on any bus at any time. Lodging for the driver on overnight trips, parking fees, and tolls are the responsibility of the group.
You need to have the exact address of each destination in order to make the reservation. Unscheduled stops will be made at the discretion of the driver.
The driver reserves the right to request that any passenger exit the bus if:
- The passengers smoke or possess open alcoholic beverages.
- The Code of Student Conduct or The Human Relations Code is violated.
- Any activity occurs that limits the driver's ability to drive or affects the safety of passengers.

Fuel Charge Notice
Contracts will include a fuel surcharge/credit clause to provide equity to both parties due to the anticipated continual and nominal fluctuations in fuel/diesel pricing. The base per gallon fuel price for this service period is $3.09, the rate as of July 1, 2010 per official U.S. Government fuel statistics for the Central Atlantic region for diesel gasoline. The website containing this information is http://tonto.eia.doe.gov/oog/info/gdu/gasdiesel.asp. For each $0.25 variance in the price of diesel (as per the above website) from the $3.09 base fuel price, a 1% fuel surcharge or credit will be applied.

Groups Traveling with Children
Children are welcome to travel on Shuttle-UM. However, children must be accompanied by an adult chaperone for the duration of the bus ride.
